Administrative Assistant

  • Work with confidential customer and internal information while maintaining discretion and not disclosing private material
  • Schedule appointments, meetings and coordinate travel arrangements for the CEO
  • Coordinates the use of conference rooms and or meeting space when needed
  • Organize catered lunches, birthdays, activities and handle arrangements with the team to boost company moral
  • Order and maintain business cards, office supplies, swag and marketing materials for the team
  • Manage incoming and outgoing mail/packages
  • Assist in handling Invoicing and Accounts Receivable
  • Source and screen potential candidates
  • Entering candidate information into database
  • Assist with the planning of recruitment events
  • Schedule meetings and interviews as requested by manager
  • Follow up on HR related tasksCreate and deploy offer letters as needed
  • Transferring data and knowledge of database systems

Requirements:

  • 1+ years of past administrative assistant or front desk experience required
  • Must be friendly, outgoing, reliable and have a positive attitude
  • Must be a solid communicator, both written and verbally
  • The ability to multitask with little supervision while managing time effectively and meeting deadlines in a high-quality manner is required
  • Must be detail-oriented and organized
  • Experience with Microsoft Office to include: Word (letter/document creation), Excel (chart, graph and table creation), and PowerPoint (presentation preparation) and Outlook (email, scheduling and calendar management)
  • Needs to possess a professional demeanor and have the ability to work with senior level executives and business guests
